How to create an invoice online

The fastest route from a finished job to a sent invoice, with no software to install and no sign-up required.

  1. 1Open the SafInvoice invoice generator — a blank invoice is ready immediately.
  2. 2Fill in your business name, address, phone and email at the top. These are saved to your business profile if you are signed in, so you only type them once.
  3. 3Add your customer. Pick an existing customer or type a new name; new customers can be saved for next time.
  4. 4Type each item in the smart item field, then set quantity and price. Totals update as you type.
  5. 5Set the invoice date, payment terms and due date. New invoices default to Due on Receipt.
  6. 6Click Save, then download the PDF or send the invoice on WhatsApp.

Tip

Choose your currency (IDR, MYR or USD) before entering prices so amounts format correctly on the document.

How to create a professional invoice

What separates an invoice that gets paid quickly from one that gets questions: complete details, clear items and unambiguous payment terms.

  1. 1Add your logo. Upload it once and save it as your default so every invoice is branded automatically.
  2. 2Include full business details: legal name, address, phone, email and tax ID if you have one.
  3. 3Use a consistent, sequential invoice number so both sides can reference it.
  4. 4Describe items specifically — 'Website landing page design (3 revisions)' beats 'Design work'.
  5. 5Show only the totals that apply. Empty discount, tax or shipping rows are hidden automatically, keeping the invoice uncluttered.
  6. 6State payment terms and the due date clearly, and add bank or QRIS details in the notes so the customer can pay without asking.

Tip

Keep the layout the same every time. Repeat customers process a familiar document faster.

How to download an invoice as a PDF

A PDF is the safest format to send: it looks identical everywhere and cannot be edited by accident.

  1. 1Open the saved invoice, or finish filling in a new one.
  2. 2Click Download. SafInvoice renders an A5 portrait PDF that matches the on-screen preview exactly.
  3. 3Check the preview before sending — logo, item table and totals should look the same as the print view.
  4. 4Save the file using a clear name such as INV-0012-CustomerName.pdf for your records.

Tip

Long invoices continue onto extra A5 pages instead of shrinking the text, so line items stay readable.

How to send an invoice via WhatsApp

For most small businesses in Indonesia and Malaysia, WhatsApp is where invoices actually get read.

  1. 1Save the invoice and make sure the customer's phone number is filled in.
  2. 2Click Send WhatsApp. WhatsApp opens with a ready-written message containing the invoice number, customer name, total and due date.
  3. 3The message uses your selected invoice language, so Indonesian customers receive Bahasa Indonesia text.
  4. 4Attach the downloaded PDF in the chat if the customer needs the full document for their records.
  5. 5Send. Then update the invoice status when payment arrives.

Tip

Sending the message and the PDF together gives the customer a summary they can read on the spot plus a document they can file.

How to create an invoice for a small business

A simple invoicing routine that keeps cash flow visible without accounting software.

  1. 1Set up your business profile and default logo once in Settings.
  2. 2Save your regular customers and your most-sold products or services so repeat invoices take seconds.
  3. 3Invoice immediately after delivery — the sooner it is sent, the sooner it is paid.
  4. 4Record part payments on the invoice. Status moves to Partial, then Paid automatically when the balance reaches zero.
  5. 5Review outstanding and overdue invoices weekly and follow up on WhatsApp.

Tip

Consistent invoice numbering and prompt follow-up do more for cash flow than any template design.
